Philanthropic Services Associate (PSA) Job Description

The Philanthropic Services Associate (PSA) helps fulfill the mission of The Community Foundation (TCF); Strengthen Inland Southern California through Philanthropy.

The primary responsibility is on Asset/Fund Development. The PSA will report to the Vice President of Philanthropic Services (VP) and will support the VP, the Director of Philanthropic Services (DPS), and the Planned Giving Officer (PGO).

This position provides administrative and logistical support for all aspects of The Community Foundation’s (TCF) asset development, fundraising and donor relationships including: prospect identification and tracking, donor acknowledgement, communications, relationship building and cultivation, fund acquisition, and professional advisor outreach and events. The PSA is also the key resource for TCF’s database management (FIMS) and internal processes for fund creation; and assists with planning and implementation of Community Leadership activities.

Duties and Responsibilities

  • Become familiar with the active portfolios of each of the philanthropic services professional staff with their assigned donors, agencies, and prospects
  • Understand the different gifting products offered to donors by TCF, such as:
    • Deferred Gifts (Planned Giving)
    • Donor Advised Funds
    • Designated Funds
    • Field of Interest Funds;
    • Scholarship Funds
    • Agency Funds
  • With senior staff, analyze current donor fund base to determine those donors who might have the capability to expand their current fund(s) at TCF
  • Assist in reviewing the current database for accuracy and update on a regular basis
  • Responsible for cash receipts log; updating and/or creating donor profiles; and sending cash receipt log to the PS team on a weekly basis
  • Assist with department events as required for potential donors, current fund holders, professional advisors, other
  • With the VP, assist with the implementation and support of all activities relating to the Women’s Giving Circle ensuring a successful and sustainable program
  • Complete other activities as directed by the VP in relation to growing the asset base

Donor Relationships and Services

  • Help ensure open and ongoing communication with our fund holders, keeping them updated on TCF donor related and community leadership activities
  • With senior staff, assist in the ongoing development and maintenance of the Donor Prospect Master (DPM) matrix
  • Generate formal gift acknowledgment letters for the appropriate signatory (VP, CEO, DPS, and/or Board Chair) on a timely basis
  • Assist with the design and implementation of donor development, donor services, donor and prospect receptions, and ambassador-related events that may involve board members, professional advisors and other volunteers who advance asset development goals
  • Support the planning, implementation, and interaction of the Brouse Legacy Society, which include
  • recognition programs; expansion of the program and membership; and communications
  • Stay current on trends germane to the management of FIMS database and knowledge on the use of the Crescendo Planned Giving product line
  • Manage the report and data output functions of FIMS along with the preparation and dissemination of FIMS lists for various publications, events and other special needs with accuracy and in a timely manner
  • Attend all meetings of the PST. Provide administrative support, i.e. minutes with action items, scheduling appointments with current and prospective fund-holders, and agencies as requested

Community Leadership

  • Provide administrative support to the planning and implementation of the Give BIG San Bernardino campaign for 2017
  • At the direction of the VP, engage with organizations, individuals, activities, and events in the community that lead to enhancing the overall standing of TCF with community leaders. Attendance at events determined by TCF leadership to be of value to the objective noted above
  • Support other activities as required

Research and Support

  • Develop a comprehensive understanding of FIMS and its use in donor cultivation and gathering of historical background
  • With senior staff, develop a system of information gathering and retrieval and act as the main conduit of that activity to better inform the board and others
  • Provide the VP, DPS, and PGO with research for potential and current clients as requested

Communications

  • Assist, where appropriate, in the development of communications, messages, and marketing materials to donors and professional advisors through the Annual Report, newsletters, web site and web-based communications, social media; and with grants and contracts
  • Assist department with e-newsletters, primarily using Constant Contact, by creating content, designing emails and maintaining donor email lists
  • Track and report marketing metrics of e-newsletters
  • Assist with updating existing marketing collateral utilized by PS Department
  • Plan, implement and maintain Community Spotlight for the weekly column in The Press Enterprise

​Duties Otherwise Assigned

As determined by VP, the PS Department, in coordination with Communications Director, or President and CEO, projects may be assigned on an as-needed basis.

Required Experience, Education and Skills

  • Commitment to TCF’s mission and purpose to build philanthropic assets; its values of integrity, inclusion, excellence, collaboration and knowledge
  • Solid fundraising skills/knowledge, fiscal management, and financial development
  • Knowledge in database management and donor-based tracking (FIMS) or equivalent
  • Demonstrated skills, knowledge and experience in the design of marketing collateral
  • Experience managing web content, social media skills, Constant Contact, and design work
  • Strong interpersonal and verbal/writing, and computer skills
  • Board, committee and volunteer development experience
  • Proven self-starter who works well in a team environment; creative and problem-solving
  • Strong project management skills; uses time efficiently; tracks schedules; and meets deadlines

Education

  • Bachelor’s degree in business management, social work, marketing, public relations, journalism or graphic design preferred
  • Minimum of two (2) years’ experience working with donors, volunteers or in nonprofits is preferred
  • Minimum of two (2) years’ experience in marketing, communications or public relations with demonstrated success
